This is a great event in which children get to show off their talents. Volunteers are needed to coordinate the event. We need people to advertise, M.C., work the sound system, and organize the "acts". This event is scheduled for March.

Volunteers organize all aspects of the event to include publicizing the event, recruiting callers, selling tickets, etc.

The Beautification committee is responsible for keeping up school flower beds at the front entrance of the school including weeding planting, and making sure district maintenance is done. Beautification efforts are ongoing throughout the school year. This committee chairperson is responsible for scheduling beautification ,coordinating efforts with school personnel for front entrance beautification efforts and working with Fathers committee for Fall clean-up.

The Scholastic Book Fair is held during teacher conferences twice a year and a BOGO is held at the end of the year. Chairperson is in contact with Scholastic for each fair and responsible for signing contracts. Chairperson works with the principal and teachers regarding book fair dates and times and classroom wish lists. Required to send out flyers and correspondence to the school. Volunteers are needed to decorate, setup, help checkout customers during the fair, and take down decorations and closing up the fair.

"Box Tops for Education" are collected from the students. Committee responsibilities include counting and sending in the box tops to the company for redemption, and promoting this effort. This is an on-gong program that runs throughout the school year.

Directory of all students, staff, etc. is distributed in September. Committee responsibilities include publishing, proofreading, copying and distributing the student directory, collecting/updating/typing of family listings, class lists, staff information, important phone numbers, etc.

This is a community event usually held in on a Saturday morning early in December. It is a fun, family morning at the school. Past breakfasts have involved Holiday Shoppe , some type of craft activity and pictures w/ Santa. Event chairpersons are responsible for coordinating activities, and food w/ the cafeteria supervisor, school principal, PTA president, other event chairs (when applicable) and scheduling volunteers.

The Hospitality Chairperson is the official host of the PTA and, with a committee, has the responsibility of establishing a friendly, comfortable atmosphere at PTA meetings and events. The Hospitality Committee helps to create a sense of belonging that invites members to become involved in PTA activities. Hospitality also provides refreshments and/or coordinates volunteer support as needed for PTA events including: Family Fun Nights,Grandparents Day, Kindergarten Registration, Staff Appreciation Luncheon In addition to the duties of every committee chair, the duties of the Hospitality Chair are:
  • Work in cooperation with the committees who plan programs or events
  • Obtain names of special guests from president or program chairperson and carry out any special arrangements that have been planned for them.
  • Be sure adequate food, beverages, and supplies are available
  • Arrive early to be sure the door is unlocked, lights are on, temperature is comfortable and the room is ready
  • Be sure meeting place is left in order and PTA belongings properly stored
  • Record expenditures and other notes about meeting details in your procedure book .

District wide event held in the spring. Committee chair recruits volunteers to donate and serve refreshments, compile information packets in coordination with office staff, and help the day of the event. Help is needed the day of the event with set-up/clean-up, escorting children and parents/guardians to classrooms, collecting and copying registration information, and manning a PTA membership table. In addition to registration day, the committee chair hosts a "playdate" in August for incoming Kindergarten students to meet classmates, their teacher, and the principal. PTA will host a membership table at this event and provide refreshments as well.

Market Day is a PTA fundraiser that allows you to buy food that you would normally buy and earn money for our school at the same time. Each month our PTA earns 10-25% of the total sale!

Members make it possible for PTA to carry out its mission on behalf of children and youth. The goals of the Membership Committee are to build an informed, active membership that supports the mission and purposes of the local, state, and National PTA. In addition to recruiting parents, teachers, other school staff, and community members, each PTA should make a year-round effort to involve and recruit new members, including all members of the community who share the goals of the PTA. PTA membership is open to anyone who supports the mission and purposes of the PTA. In addition to the duties of every committee chair, the duties of the Membership Chair are:
  • Become familiar with the PTA Membership Quick-Reference Guide which is mailed to PTA presidents. The PTA Quick-Reference Guides are also available on the National PTA website. The Username and Password on your PTA membership card are required to access the PTA Quick-Reference Guides on the website.
  • Become familiar with the Membership section of the PA PTA website at www.papta.org
  • In conjunction with the Membership Committee, develop a membership growth plan that will direct the activities of the committee. A well-thought-out plan made early and carried out with enthusiasm and imagination throughout the year will contribute much to the success of membership development.
  • Select a theme or slogan, or join the statewide campaign.
  • Send a cordial letter of invitation to join the PTA to the home of each student. Have the president and the principal sign the letter.
  • Have membership tables at registration day, open house and all PTA events during the entire school year
  • Administer distribution of membership cards to members upon payment of dues, one card for each member. This includes informing members of their National PTA local unit identification number. Fill out cards completely. Never issue blank cards.
  • Provide information to members and potential members on the value and benefits of PTA membership.
  • Collect and count membership money. (Money should always be counted by AT LEAST two people)
  • Remit membership money immediately to the treasurer and request a receipt. Include names and addresses of new members for the Dues Remittal Form and Membership Roster which must be sent to PA PTA.
  • Keep names, addresses, telephone numbers and email addresses of members and provide a duplicate copy for the secretary’s official book.
  • Maintain accurate membership records and relevant information on the committee’s work
  • Attend scheduled meetings as determined by the president
  • Attend leadership and membership training whenever possible
  • Evaluate membership efforts at the end of the year. Identify trends.

Each local PTA is a self-governing unit, with the structure and specific regulations prescribed in bylaws that the members have adopted. The bylaws are the "final word" in any dispute. They may not be suspended even by unanimous vote. In addition to the duties of every committee chair, the duties of the Bylaws Chair are:
  • Become familiar with your PTA’s bylaws. If you cannot locate a copy of your PTA’s bylaws, contact the PA PTA office for a copy.
  • Distribute copies of the bylaws to all board members and other PTA members upon request
  • File the approved copy in the secretary’s permanent minute book for safekeeping and quick reference

  • Review your PTA’s bylaws every year. Make any changes to # sections of the bylaws if notified by PA PTA to do so. Follow procedures in local unit bylaws (usually found in the last article of the bylaws) for amending bylaws, giving proper notice to membership prior to a vote. A 2/3 majority is required to in any vote to amend the bylaws. Submit bylaws to Iowa PTA for approval any time they are amended or every three years, whichever comes first.   • Study and discuss bylaws at board meetings. A copy of the bylaws should be a part of the procedure book for each officer and committee chair
  • Immediately bring to the attention of the board any violation of the bylaws

"Spirit Gear" is an ongoing fundraiser. Committee responsibilities include designing, ordering and selling items (such as hats, t-shirts, etc.) with the GW Elementary School mascot and colors.

The school store sells a variety of supplies to students during lunch periods on Thursdays. Items are usually not priced over $1 since the goal is not to make a profit but to provide the students with a learning experience about dealing with money and making their own purchasing decisions. The ideal committee consists of 2 volunteers managing the store each Thursday and a scheduling and ordering chairperson. The chairperson attends monthly PTA meetings to report earnings, coordinates volunteers, orders supplies for the store, and coordinates money–handling w/ the PTA treasurer.

Teacher Appreciation week is traditionally in the spring and involves doing special appreciative acts for the staff such as providing a special breakfast and lunch and expressions of appreciation. Creative flexibility on showing appreciation is encouraged.This committee is also responsible for staff appreciation breakfast the day school starts and souper day in fall.

"book swap" Children donate gently used books. Books are collected for a week as the children arrive at school. A ticket is given for each book. Tickets can be used at the event to "purchase" a book. Committee responsibilities include collecting and organizing books donated by students to swap, coordinating set up/clean up of books at the event. "T.V. Turn Off" The purpose of this event is to emphasize less television viewing, and to promote other activities such as reading, playing outside, talking to one another, playing board games etc. A chairperson and the committee would be responsible for preparing a flyer announcing the event and preparing a flyer with a suggested list of other activities. This event can be as small or large, as you want to make it.

Volunteers are needed to make a firm commitment to take pictures of all school events for displaying in the yearbook. Volunteers are also needed to compile pictures into page layouts. Yearbook staff are responsible to help manage children on the day when pictures are being taken. Individual and class photos are scheduled for October.
